Overview / Responsibilities

Wood Applied Intelligence (AI) is currently recruiting for a Office Administrator / Receptionist to work within their Autonomous Solutions business area. The Office Administrator is responsible for providing Reception, secretarial, clerical and administrative support in order to ensure that the Company’s services are provided in an effective and efficient manner.

Responsibilities / Duties:

  • Greeting visitors and notifying company personnel of visitor arrival
  • Handling incoming calls and operating a switchboard efficiently
  • Maintains security and telecommunications system
  • Maintains security by following procedures, monitoring logbook, and issuing visitor access passes
  • Informs visitors by answering or referring inquiries
  • Orders and prepares food and drink for meetings as required
  • Orders front office supplies and keep inventory of stock
  • Arranges travel and accommodation
  • Updates calendars and schedule meetings
  • Supporting the P&O (HR) function
  • Keeps, updates and reviews training records and supports P&O
  • Keeps, updates and reviews HSSES records
  • Provides administration support to purchasing team as required
  • Maintains stock and orders corporate clothing and other stationary
  • Supports business group with any company wide announcements to be notified by reception
  • Keeps a safe and clean reception area by complying with procedures, rules, and regulations
  • Support and administration of security clearances
  • General office housekeeping activities as required
  • Any other duties, in accordance with the broad scope of this role

Skills / Qualifications

Knowledge, skills and experience:

 

  • Previous experience in similar front office position
  • Competent in Microsoft Office and wider IT software

  • Good communication skills, written and verbal
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Excellent interpersonal skills
  • Be able to work well independently
  • Computer & Telephone Skills
  • Good Listening skills
  • Professional attitude and appearance
  • Customer Focus
  • Organization Staff Knowledge
