Overview / Responsibilities

Massy Wood - Guyana is recruiting for a People & Organisation Assistant.


The People & Organisation (HR) Assistant – is responsible for providing administrative support and assisting the coordination and delivery of the Recruitment and Employee Relations & Benefits functions.


  • Be main point of contact for all day to day queries/activities from offshore and onshore to achieve successful contract delivery
  • Create vacancies, and run advertisements.
  • Liaise with employment agencies, when necessary, in sourcing suitable candidates
  • Schedule interviews and coordinate communications on behalf of team members and candidates
  • Administer psychometric assessments and conduct the relevant reference/background checks for identified candidates
  • Ensure all employment prerequisites are completed before start of employment, including drug testing, UKOOA medical, HSSE training, and relevant site requirements
  • Coordinate the onboarding process, including ensuring all new hire requests are completed, arranging the necessary approvals, assisting new employee in completing induction documentation and sending out the organisational welcome notice
  • Responsible for ensuring the regular update of orientation presentation content and supporting the recruiters in orientation delivery
  • Create, maintain and update profile for new hires in company’s HRIS, as well as create new employee files
  • Close-out recruitment process by disengaging all unsuccessful candidates through the issuing of relevant correspondence e.g. Not Selected Letters
  • Create and/or regularly update statistical recruitment reports, meeting logs and other relevant databases
  • Assist with the review and updating of all job descriptions in order to ensure that there is a valid JD for each position within the company
  • Update project and department organisational charts on a monthly basis
  • Provide P&O support to the Business Development team in relation to bids and tenders
  • Assist with departmental projects as required. For e.g. HRIS audits etc.
  • Provide general internal P&O support to all internal stakeholders
  • Prepare all relevant employee correspondence e.g. job letters, employment contract renewals, reclassification/reassignment documents, P&O actions forms, termination letters etc.
  • Administer company-sponsored programmes and initiatives 
  • Perform plan administration function for all group benefits
  • Reconcile the benefits statements to ensure monthly additions, deletions and changes are reflected
  • Prepare monthly payroll checklist
  • Facilitate employees benefit claims and requests for plan changes on a timely basis.
  • Ensure that all staff benefits information are stored according to the agreed format and kept in a secure and confidential manner.
  • Maintain regular communication with benefit providers to ensure optimum service
  • Process employees’ leave requests.
  • Work closely with the P&OTeam to promote and coordinate benefit activities for all staff, e.g. Health and Wellness programs, etc.
  • Assist with the administration of performance review documentation
  • Respond to employees on benefits-related questions and requests 
  • Ensure renewals of mandatory compliance – UKOOA, vaccinations etc.
  • Conduct random drug and alcohol screening
  • Support employee communication and engagement
  • Support and participate in emergency response activities
  • Perform all other job-related functions as required.

Skills / Qualifications

  • Bachelor’s degree in a relevant field from a recognised University
  • A minimum of one (1) year experience in a similar position
  • Ability to work effectively and prioritise in a fast-paced, high performance work environment
  • Ability to work as part of a team

  • Intermediate computer skills with experience in Microsoft Office

  • Actively promotes and personally observes safety and security procedures, and uses equipment and materials properly
  • Maintains the highest level of confidentiality and trustworthiness
  • Proficient in Computer Applications including word processing and spreadsheet applications.

An acceptable combination of academic qualifications and work experience may be considered in lieu of minimum requirements
