Overview / Responsibilities

Wood is currently recruiting for a permanent Admin Assistant. The ideal candidate will be a seasoned administrator who can multi-task effectively on a variety of responsibilities from simple to more complex. Must be highly organized, patient and personable, detail oriented, and flexible. Must be Capable of multi-tasking and completing work to a high standard, while meeting strict deadlines

 

Key Responsibilities

  • Provide administrative support to project managers and members of the management team with reports, document control and tracking of monthly project data
  • Assist with various administrative and financial matters related to monthly accounting cycles
  • Inventory management of stationary/ office and pantry supplies
  • Preparing Company ID/badge & Visitor’s ID, ordering RFID/proximity and plain cards, ID printer ink cartridge
  • Enrolls new employees to badge and biometrics system
  • Liaison works with government agencies in compliance to mandated regulations
  • Provides administrative support to ad hoc events and activities that include but not limited to supplies, logistics, accommodations, external events arrangements
  • Develops and maintains a filing system. Maintains and keeps available standard forms, e.g., Gate Pass, Work Permits
  • Assists all departments and employees in works like official courier, transport reservations, flight & hotel accommodation bookings among others
  • Manages the schedule in using the conference rooms.
  • Updates bulletin boards
  • Research and resolve routine problems as they arise (example: opening and following up with IT support tickets)
  • Coordination with Global IT on any IT request and will act as focal between the business and IBM
  • Physical set up of equipment for new joiners
  • Coordination and preparation of IT asset for dispatch for those working offsite
  • Other administrative duties as required

Skills / Qualifications

Essentials

  • BS Degree in Computer Science, Technology and Engineering
  • 5+ years related experience
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook Express are essential
  • Excellent interpersonal & communication skills
  • Experience in handling multiple priorities effectively
  • Ability to exercise discretion and maintain confidentiality
  • Highly developed people skills
  • Strong commitment to internal and external customer service
  • Organization & prioritization skills
  • Attention to detail with focus on quality
  • Reliable and punctual
  • Good writing skills
  • Previous experience in financial analysis and accounting
  • Problem solving and solution oriented
  • Ability to thrive in an environment of shifting priorities is essential
