Notes of meetings issued in accordance with Project distribution matrix. - Check that purchase orders are prepared as per the approved quotation summaries. - Check quotation variation summaries and order variation summaries prepared by assigned personnel prior to submission to Project Procurement Manager. - Review and countersign purchase orders and amendments prepared by assigned personnel.   - Post Order - Ensure that assigned personnel: - Meet project schedule for procurement deliverables. - Input all progress data into Material Control System and ensure that these are kept up-to-date. - Progress and expedite all equipment and material on a regular time basis in accordance with approved project procedures. - Issue expediting requests and liaise with the Expediting Group for the external expediting of Suppliers as necessary to ensure deliveries in accordance with project requirements. - Liaise with the Inspection Group or other Inspection organisation to obtain inspection of all equipment and materials. - Liaise as necessary with the Shipping Group to obtain expeditious shipment of all equipment and materials. - Post order supplier management that facilitates “on-time” delivery of goods. - Purchase order documentation checks – ensure assigned personnel carryout the following activities: - Suppliers document index specified in the purchase order is received on schedule. Expedite as required. - Critical supplier data specified in the purchase order is received on schedule. Expedite as required. - The Supplier’s production schedule is checked for compliance with purchase order. Review Supplier’s production schedule with Discipline Engineer and/or Project Procurement Manager and other procurement disciplines (i.e. Inspection and Shipping) to ensure production steps are correct and achievable. - Expedite engineering and document control to ensure supplier documentation is returned to the Supplier within the time periods stipulated in the purchase order. - Submittal dates specified in the supplier document index are consistent with the data detailed in the supplier’s production schedule. If necessary, expedite supplier for resolution if any inconsistencies are discovered. - All necessary suborders are obtained, checked to ensure that relevant standards are included, correct materials have been ordered and inspection requirements have been specified. - Check that Supplier's documentation and drawings specified on the purchase order is received on schedule.
